Production Associate, Direct Response

As production associate for the direct response group at American Philanthropic, you will be responsible for managing and coordinating multiple projects for the group’s consulting direct response (primarily direct mail) engagements. This role is a liaison between designers, copywriters, print vendors, list rental brokers and other internal/external consultants, shepherding the entire production process to ensure that deliverables are met in a timely manner. The successful production manager will be operationally and systems-minded and have an ability to appreciate the entire workflow process to keep tasks coordinated and moving forward together.

The production associate works closely with American Philanthropic’s leadership and staff, contractors, and vendors to ensure that the firm continues to meet a high standard of excellence in serving its clients and fulfilling its obligations. Primary responsibilities include the following.

Project Management and Coordination

  • Acquiring a deep technical and strategic understanding of the changing landscape of direct mail and American Philanthropic’s distinctive approach;
  • Managing and executing project workflows by regularly interacting with designers, copywriters, list brokers, and consultants;
  • Completing tasks efficiently, accurately, and on time by taking ownership of each project assignment and associated tasks;
  • Assisting with the tracking and internal coordination of client projects and calendars as requested;
  • Interacting professionally by Zoom, phone and email with internal and external partners including consultants, contractors, and vendors;
  • Coordinating with print vendors and negotiating prices;
  • Assisting with the creation of production workflows, timelines, and refining as needed;
  • Keeping abreast of and updating staff regarding USPS postal regulations, service oriented updates, and other news that may impact deliverability and timelines;
  • Developing, maintaining, and overseeing the relationships with printers and other vendors, including ensuring quality is maintained and pricing is negotiated effectively;
  • Using systems and software outlined by the department (e.g. Wrike, Slack, Salesforce, Klient) for communication, budgeting, and project management; and
  • Providing other routine assistance related to the company’s direct response services as needed.


  • Adhering to the company’s policies and procedures;
  • Helping to build the respect and recognition of American Philanthropic by representing the firm at conferences and other events;
  • Building relationships of trust with colleagues and vendors;
  • Participating in department and company events; and
  • Assisting with the performance of other company-related tasks as needed.

This position reports directly to the Senior Managing Consultant of the Direct Response Group and requires occasional travel for department and company meetings and events.


A minimum of 2+ years of professional experience and no prior experience in direct response is required. The ideal candidate will also demonstrate:

  • Outstanding organizational, time management, and planning expertise; with a strong ability to manage multiple priorities;
  • Initiative to drive projects with well-honed organizational skills, attention to detail, a high degree of personal initiative and conscientiousness, keen intelligence, superb interpersonal skills, and an ability to shift quickly between tasks required;
  • Practical hands-on experience with direct response programs, including direct mail and digital initiatives and tactical execution of these channels;
  • Strong communication and collegiality, as well as a capacity to build personal relationships of trust and respect both with clients and colleagues;
  • An exceptional ability to multi-task, effectively managing many competing deadlines and client priorities with a high degree of prudence and conscientiousness;
  • Excellent communication skills, both verbal and written;
  • A strong work ethic, humble manner, and demonstrated willingness to go above and beyond when necessary; and
  • A desire and ability to effectively contribute to company culture and value practical wisdom, excellence, integrity, hard work, and conviviality.
